The board and staff of AIC thank everyone who helped us plan and organize our 2020 Annual Meeting that was scheduled to be held in Salt Lake City, UT, May 19-23, 2020. We are grateful to presenters, program committees, vendors, funders, local event organizers, and all who planned to attend. We also appreciated your patience and good will as we responded to the rapidly spreading virus that has disrupted and threatened everyone’s lives and work. We hope you and your families are safe and healthy.

Recognizing the increasing spread of COVID-19, the Centers of Disease Control guidelines, and the travel restrictions placed on most American and international citizens, we are rescheduling our May 2020 conference in Salt Lake City to May 2024.

Keep in mind, AIC’s 49th Annual Meeting is scheduled to take place in Jacksonville, FL, in 2021 and the 50th Annual Meeting is being held in Los Angeles, CA, in 2022. The 51st meeting, in 2023, has not yet been booked.  

During negotiations with our venues in Salt Lake City, we assessed various options that might be amenable to all. As the COVID-19 crisis worsened, it became clear that postponing the in-person meeting to later in 2020 would not be feasible. In the absence of a 2020 in-person meeting, many members expressed interest in some sort of virtual program and plans for this are now in progress.

We wanted to give you news of the 2020 conference as quickly as possible, but there is much that still needs to be determined. Here is what we can tell you today:

  • While there will be no in-person meeting in 2020, we are committed to working with the 2020 Annual Meeting session chairs, presenters, and exhibitors to create a virtual program, the details of which will be released in the coming weeks.  
  • The hotels in the AIC block (The Marriott City Creek and the Marriott City Center) will cancel your hotel reservations and will send you a confirmation of the cancelation. Please give them to the end of April to do so.Note that the Marriott City Creek has confirmed in writing that the "one-night deposit taken 30 days out" provision is void.  
  • If you feel more comfortable canceling your reservation on your own, you can do so through the link on the AIC website. Please note when canceling a reservation at the Marriott City Creek through the web link, the cancel button will appear greyed out, but it is functional. Also, the Marriott City Creek has requested that attendees do not call the hotel to cancel. They are very short staffed at the moment.  
  • By Friday, April 24, we will be able to share more information about the virtual program and registration refunds and rollovers. We ask for your continued patience and understanding as we work through these details.  
  • By Friday, April 24, we should also have more details regarding the 2024 Annual Meeting, including the exact dates and how business meetings will be conducted.

We are all facing unprecedented challenges, including financial. Know that we will continue to advocate for emergency funding for the field, add more content and links to our COVID-19 Resources Page, and provide professional online programing and resources. For those who are able, we will appreciate your support during these difficult times.

As promised in our email of March 16th, below is the link to take the short survey on the possibility of rescheduling the AIC Annual Meeting to August 31–September 4. I realize that many of us may find it difficult to imagine what things will be like at the end of August. Please take the survey with the thought that by the end of August, the COVID-19 situation would have greatly improved.

Our thoughts are with every member of the AIC community during these unprecedented times. We understand that everyone is facing challenges both at home and work due to COVID-19, and we wish you all to remain safe.

As promised, we wanted to give you an update regarding our 2020 Annual Meeting, currently scheduled for May 19-23. For the past two weeks, we have been in discussion with our venues, including Salt Palace Convention Center, Salt Lake Marriott Downtown at City Creek, Salt Lake Marriott Downtown at City Center, in Salt Lake City regarding the feasibility of holding the AIC Annual Meeting during May.

One of the issues we face is that our meeting is two months away. In the opinion of our meeting venues, this leaves open the possibility that the Annual Meeting could still be held in May. We do not yet know the effect on our venues of the new CDC recommendation of not holding gatherings of more than 50 people between now and May 10th.

Penalties for AIC cancelling the conference without proper cause top $500,000. This means that we must take the time to work through our differences with our venues and to seek legal advice before making formal decisions.

One option under consideration with our venues is rescheduling the 2020 Annual Meeting to August 31st through September 4th, 2020. The location would remain the same. In the next couple of days, we will be sending out a short survey to learn your opinions regarding the potential reschedule dates.

As you know, the situation changes daily, if not hourly. Currently and as of today, the Salt Palace Convention Center is closed until March 31st. We continue to research the situation, talk with our venues in Salt Lake City, and explore options, including rescheduling and online offerings.

No doubt, conversations with our SLC contractual representatives and our legal counsel will be complex and, possibly, protracted. Our goal is to have a resolution by March 31st.

Please plan to take our survey even if you are not currently registered for the 2020 Annual Meeting. The survey, to be sent this week, will remain open until March 25th, but the sooner you can provide us with your opinion, the faster we can act.

Given the rapidly evolving circumstances surrounding the spread of the COVID-19 virus, we want to be sure you know that, as we continue to monitor the situation, the health and safety of our members is our primary concern. The challenge we face is that our 48th Annual Meeting is more than two months away, and it is difficult to know now what we will be facing in two months.

We are in the process of coordinating with our annual meeting venues and partners, as well as keeping abreast of CDC, WHO, and the Utah Department of Health guidelines and recommendations, in order to make an informed and rational decision regarding the 48th AIC Annual Meeting. We promise to keep you updated on a regular basis.

As the COVID-19 strain of coronavirus captures the headlines, we realize that some of you may be wondering if COVID-19 will have an impact on AIC's 48th Annual Meeting to be held in Salt Lake City, May 19-23.

AIC is closely monitoring the situation and is and will continue to follow recommendations by public health authorities in order to hold a safe and productive annual meeting. We are currently planning to implement additional hygiene procedures at the meeting, including disinfecting microphones between speakers, making hand sanitizers readily available, and discouraging handshaking. We will work with the Salt Palace Convention and our hotel partners to adjust these measures closer to the time of the meeting, based on the best information available, and we will provide updates as needed.

With the information available to us today, we feel confident that we can and will hold our 48th Annual Meeting in Salt Lake City as planned. Salt Lake City continues to remain open for business and is hosting group meetings as you read this.
